About us

Prepia is one of the fastest-growing edtech startups in Europe, building digital products and innovative solutions for learners and educators. Our team currently has 9 people, and we are looking for someone who will help the company run smoothly, taking care of administration, finance, operations, and light project management so the CEO and team can fully focus on product and growth.

Your responsibilities

  • Administration & Finance: handle invoice payments, payroll, expense tracking, and subscriptions.
  • HR Support: maintain employee records (attendance, vacations), prepare basic KPI reports.
  • Procurement & Logistics: purchase equipment, manage suppliers, and negotiate contracts.
  • CEO Assistance: schedule meetings, manage the CEO's calendar, prepare reports, handle external communication, and organize travel.
  • Team Organization: coordinate team events, off-sites, and daily operational support.
  • Processes & Operations: standardize internal procedures and keep track of deadlines.
  • Project management: Build simple project plans with timelines, owners, and milestones; keep everyone unblocked.

What we expect

  • 3–5 years in a similar role (Office Manager, Operations, Executive Assistant, HR/Finance administration).
  • Project management experience (leading small to medium initiatives in a startup).
  • Strong organizational skills and attention to detail.
  • Basic understanding of finance and administration (accounting background is a plus).
  • Excellent communication skills and comfort working with both internal teams and external partners.
  • Proactive mindset, you take initiative and improve processes.
  • Proficiency with Google Workspace or MS Office; experience with Notion/Jira/Trello is a plus.
  • Professional level of English, both written and spoken.
