Timesheet Administration Manager
to take ownership of our timesheet operations, ensuring accuracy, efficiency, and smooth monthly closings.
What You'll Be Doing
- Manage the full timesheet submission and approval process, ensuring accuracy and adherence to deadlines.
- Collaborate with project managers and account managers to resolve timesheet issues and promote best practices.
- Support monthly closing and invoicing procedures to ensure financial accuracy and client satisfaction.
- Coordinate with finance, client services, and project teams to align on timesheet and invoicing processes.
- Identify and mitigate risks related to timesheet accuracy and invoicing errors, ensuring compliance with internal policies and external regulations.
- Monitor timesheet compliance for contingent workers to avoid invoicing delays.
- Handle JIRA tickets related to timesheets using Dynamics 365 and Power BI for real-time issue resolution.
- Contribute to change management initiatives related to project accounting and time tracking.
- Help define and promote standards, training, and best practices within the COO Office.
- Support ad-hoc projects and cross-functional initiatives as requested by the Head of Business Controls & Systems.
What You'll Bring
- Minimum 2 years of experience in IT Operations, IT Consultancy, or Service Management.
- Strong ability to build and maintain relationships across teams and reporting levels.
- Advanced Excel skills (Office365); experience with JIRA and Dynamics 365 is a plus.
- Comfortable working in a fast-paced, high-volume environment with shifting priorities.
- Excellent problem-solving, communication, and organizational skills.
- Fluent in English (spoken and written); knowledge of other European languages (especially French, German, or Portuguese) is a plus.
