RETAIL LEASING COORDINATOR

ROLE SUMMARY:

The Leasing Coordinator provides essential operational and administrative support to the retail leasing team, ensuring efficient communication between internal teams and external partners. The role involves managing lease documentation, tracking key dates and KPIs, supporting project planning, and maintaining accurate data in the real estate system. This position is key to enabling smooth leasing operations and successful retail unit launches.

KEY RESPONSIBILITIES:

  • Provide operational and organizational support to the retail leasing team
  • Act as a central point of coordination for the smooth flow of information between internal teams and external partners
  • Organize and coordinate meetings, ensuring all stakeholders receive relevant information, documents, and materials in a timely manner
  • Support the Director in planning and executing short- and long-term leasing projects, including budgeting, scheduling, and expense tracking
  • Coordinate the lifecycle of lease documents, including new leases, renewals, terminations, and related correspondence (e.g. tenant notices, letters, evictions)
  • Proactively track lease expirations and initiate renewal processes in cooperation with tenants and leasing managers
  • Review and validate lease data entered in the real estate database (YARDI) and maintain up-to-date and organized lease files
  • Maintain a backup file of the master database and ensure consistency across lease-related records
  • Prepare and update documentation required for the launch of retail units, based on internal input and data analysis
  • Conduct data analysis to prepare reports and documentation for management, with a focus on supporting the opening of new retail stores and monitoring key KPIs
  • Draft various reports, financial documents, invoices, and business correspondence in support of daily leasing operations

QUALIFICATIONS AND EXPERIENCE:

  • Bachelor's degree
  • Minimum of 3 years of experience in coordination or administrative support roles, preferably within real estate or leasing
  • Proven ability to build and maintain relationships with internal and external stakeholders

SKILLS AND COMPETENCIES:

  • Excellent organizational skills and high attention to detail
  • Strong verbal and written communication abilities
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
  • Experience with ERP systems is considered an asset
  • Fluency in English (written and spoken)
